Description
May complete work schedules, manage calendars, and arrange appointments.
May create a wide variety of template, company-sanctioned marketing materials that may include maps, advertisements, demographic reports, and executive summary brochures for in-house and client presentations using advanced desktop, graphic, and mapping software.
May perform a variety of facilities and maintenance duties such as processing work orders for maintenance.
EVENTS
Maintain events calendar to ensure there are no scheduling conflicts.
Manage existing audio visual equipment and procure new when needed.
Coordinate transportation for large events as required.
MOVES
Support Corporate Services Manager in all aspects of the Moves , Adds, Changes process.
CONFERENCE ROOM MANAGEMENT
Maintain administrative rights for meeting room manager for the JAX campus.
Responsible for updating all details in meeting room manager when changes occur.
Assist with handling conflicts with regards to video conferencing availability when necessary.
Create and post daily conference room signage.
Keep whiteboard / wall talker supplies stocked.
ACCOUNTS PAYABLE / RECEIVABLE
Verifies the accuracy of invoices and other accounting documents or records.
Processes transactions such as disbursements, expense vouchers, cash receipts, etc.
Enters data into financial system.
Prepares reports to validate transactions.
Reconciles records with internal company employees and management, or external vendors or customers.
Investigates questionable or irreconcilable differences and reports these issue to the appropriate individual.

High school diploma or general education degree (GED) required. Minimum 2 years of related experience.
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.
Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
