ABOUT THE ROLE:

As a Data Management Administrator, you will provide exceptional customer service, operational and financial support to the client and the get results within the account. Understanding the contract scope, client procedures, processes, and systems, and operate them to the required standards.

WHAT YOU WILL DO:

  • Obtain a comprehensive understanding of the scope of the contract and ensure that all work is carried out in accordance to the contract scope.
  • Ensure consistent delivery of core operational and financial outputs on the account.
  • Compile monthly client/account reporting.
  • Support the preparation and delivery of monthly Contract Review and Business Unit Review materials to ensure SOX compliance.
  • Be a financial and operational systems champion/administrator. Support efforts to put in place cost saving opportunities to enhance customer and GWS financial savings targets.
  • Help improve the financial standards of the contract that are measured against monthly key performance indicators (critical metrics).
  • Create and review management reports, such as: Profit and Loss (P&L), Work in Progress (WIP), Debt, Open Purchase Orders (OPOs) & Invoice Pools (Accounts Payable).
  • Respond to inquires on financial reports for Accounts Receivable, Invoice Pool (Accounts Payable), WIP, and Open POs
  • Create purchase orders for one-off maintenance, extra works, and projects in line with company requirements.
  • Invoice monthly/quarterly maintenance billing and projects as per contracted agreements.
  • Liaise closely with site teams and head office, ensuring accurate processing of quotations and purchase orders.
  • Coordinate vendors for reactive and planned works.
  • Coordinate sub-contractor paperwork, ensuring they are aligned with QHSE requirements.
  • Onboard new vendors to the financial system.
  • Allocate internal engineers to callouts and maintenance visits, driving the engineering team to attend to all callouts within required SLA's. -
  • Provide support to the client and answer calls and emails in a professional and timely manner. Coordinate CBRE and vendor resources. -
  • Assist to ensure compliance with Health & Safety requirements, including reporting and promoting a safe work environment.
  • Maintain QHSE documentation and ensure it is available using company systems.
  • Maintain all activities that will provide exceptional client and vendor relationships. Ensure success in: improved buying and use of preferred suppliers, conducting supplier surveys on appropriate systems.
  • Compile the Customer Monthly Management Report.
  • Support the coordination of sub-contractor files and statutory compliance.
  • Raise, dispatch, track, and report on work orders. Coordinate and process quotations for extra works.

  • High School Diploma/GED required, with 2-4 years of experience in contract management, client care at financial institutions or similar background, preferred.
  • Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
  • Ability to write routine reports and correspondence.
  • Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
  • Ability to optimally present information to an internal department and/or large groups of employees.
