Position Summary

The Development Coordinator’s primary responsibilities are to document, organize, and maintain key deliverables, process invoices, contracts, and budgets, facilitate presentations and events, and coordinate new vendor exploration and research. This position requires a thorough understanding of the TCR processes and the role that each team member plays in those processes.


Primary Responsibilities

  • Maintain active project list with project details, key milestone dates, and assignments
  • Prepare Consultant contracts and change orders, per proposals received, send for signatures in DocuSign, and enter contracts into Timberline accounting system
  • Process invoices and/or wires on a daily, weekly and/or monthly (bank draw) basis, depending on the project, and manage payments for each. Maintain effective communication with Accounting throughout the process.
  • Enter development budget and subsequent budget revisions as instructed by Developer. Reconcile marketing soft cost budget for Resident Experience (RE) and assist Asset Management (AM) with cash funding requests
  • Coordinate new vendor exploration and research
  • Routinely pull resident feedback survey data, consolidate information, and distribute to RE & AM teams
  • Coordinate quarterly product tours in the top Eastern markets and manage database of product photos for future reference
  • Track relevant industry and non-industry conferences and trade shows to ensure RE is attending as needed
  • Help organize and execute Focus Group events, Grand Openings, and Request for Proposal (RFP) presentations for select consultants and third-party management
  • Assist RE in iterative plan review documentation including updating Unit Finish Schedule (UFS), setting up initial excel workbook for tracking unit upgrades, and managing the signage review process
  • Collect final versions of key design details that will be shared with Property Management as we prepare for lease up
  • Assist in the opening of new assets including coordination with third-party management, branding agency, and other marketing departments
  • Assist in the development of key website assets such as project renderings and interactive maps
  • Create photo books for each project at completion
  • Assist AM with property sale due diligence process including but not limited to managing contract logs and inventory logs
  • Maintain confidential department documents including scanning, saving and organizing folder structures in the electronic document management system in accordance with document retention procedures
  • Process expense reports and assist with travel arrangements as needed for RE & AM
  • Notarize documents, as needed
  • Handle all inbound and outbound department mail, courier and overnight shipping
  • Provide daily support for office and perform additional tasks and special projects as assigned
  • Minimal travel required

Desired Skills & Experience

  • Bachelor’s degree preferred
  • 3-5+ years of related experience, multifamily development or property management experience preferred
  • Excellent time management and organization skills, including the ability to prioritize support, and anticipate the needs of several managers with initiative and enthusiasm
  • Proficiency in Microsoft Outlook, Word & Excel programs required
