Description


Under limited supervision, upholds the integrity of real estate portfolio data for client.  Inputs, maintains, organizes and reports on information regarding lease dates, dollar values, FASB fields and financial accounting transactions into a lease management software database to ensure accurate and current lease information is maintained.

Prepares, processes and reconciles AR & AP transactions in an accurate and timely manner.
Reviews, compares, and analyzes operating expense and tax reconciliation statements received from landlords to ensure expenses charged to client are in compliance with lease clauses. 

Requests additional information, assesses materiality and recommends action for additional audit and recovery.  Tracks audit savings and verifies that all savings have been accurately recorded.
Abstracts leases in Tririga including all critical dates, clauses and FASB fields.  Writes narratives for monthly variance reports, provides analysis and interpretation of lease information to clients. 

Prepares and distributes critical date and other portfolio reports; maintains tickler system for tracking important dates and tasks.
Tracks payables and receivables associated with the leases in portfolio.  Processes client rent rolls utilizing the lease administration tool.
Prepares invoices for subtenants, reconciles subtenant accounts, reviews incoming invoices for errors/accuracy with lease document and ensures correct coding.  

Processes consultants and tax invoices in client Accounts Payable Utility tool.
Resolves critical issues for clients by researching and gathering information about payment transactions, lease terms and other relevant items. 

Establishes and maintains working relationship with clients and/or landlords.
Ensures data integrity and accuracy by performing quality control peer review of work completed by team members.   Cross-checks and reviews work of peers to ensure quality and accuracy of data.
Prepares and distributes periodic and ad hoc reports in a timely, accurate manner. 
Creates and maintains client lease files ensuring they contain current, accurate information.
Assists with the implementation of new Lease Administration technologies and processes.
Assists with budgeting and forecasting activities.
Conducts financial analysis/accounting as appropriate, including AR/AP, rent rolls, and budgets.
Performs other duties as assigned.

No formal supervisory responsibilities in this position.  Provides informal assistance such as technical guidance, and/or training to coworkers. Coordinates and assigns tasks to co-workers within a work unit and/or project.



 
Minimum of three years related work experience, preferably including property management or accounting.  Bachelor's degree from a four-year college or university with Accounting, Finance or Real Estate preferred.  Solid experience with lease administration technology.  Experience in Tririga an asset.

Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.


Requires in-depth knowledge of financial terms and principles.  Ability to calculate complex figures and conduct financial/business analysis including the preparation of reports.


Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills.


Advanced knowledge of computer software and hardware (i.e. Microsoft Office Suite Products). Ability to work well under pressure.  Advanced organizational skills.


Decisions made with thorough knowledge of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause short-term impact to co-workers, supervisor and clients.
