National real estate firm is seeking a Property Manager to office in Las Colinas and manage a portfolio of office buildings located throughout the Dallas metroplex. Previous work experience in commercial real estate including budgeting and reconciliations is required.  Ideal candidates will have MRI experience, proficiency in Microsoft Office (Word and Excel), exceptional communication skills and be comfortable in a multi-tasking environment. Responsibilities include lease and contract administration, tenant/client relations, accounts payable/receivable and all aspects of financial analysis.  RPA ® a plus

Summary:

Manages commercial, industrial, or residential real estate properties for clients by performing the following duties personally or through staff members. Ensures that the property is maintained and operated in a high-quality fashion, while controlling operating expenses.  Supervises all personnel. Maintains tenant satisfaction and retention and promotes excellent tenant relations.


ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned.

Discuss with client terms and conditions for providing management services and drafts agreement stipulating extent and scope of management responsibilities, services to be performed, and costs for services.

Communicates with tenants daily by telephone, by mail, and in personal meetings to address their requests for special services, to resolve problems and to build goodwill in order to preserve tenant satisfaction with the property and to ensure that tenants observe and fully understand building operating policies.

Prepares lease or rental agreements for lessees and collects specified rents and impounds.

Directs bookkeeping functions, or credits client accounts for receipts and debits account for disbursements such as mortgage, taxes, and insurance premium payments, management services costs, and upkeep and maintenance costs.

Arranges for alterations to, or maintenance, upkeep, or reconditioning of property as specified in management services or lessee’s agreement.

Visually inspects the interior and exterior of the property weekly or as needed to detect needed repairs and monitors routine maintenance in order to maintain the highest quality facility.

Employ or contracts for services of security, maintenance, and grounds keeping personnel and onsite management personnel, if required.

Directs preparation of financial statements and reports on status of properties such as occupancy rates and dates of expiration of leases.

Prepares annual operating budget for the property each year by calculating known and projected expenses for the coming calendar year and each week comparing actual expenditures to the budget in order to operate the property in the most cost-effective manner possible, while maintaining a “Class A” status.

Directs issuance of check for monies due client.

Reviews tenant delinquencies and initially contact tenants by phone, follows up with correspondence and phone calls through collection, and assesses late charges as approved.

Advises clients relative to financing, purchasing, or selling of property.

Prepares periodic inventory of building contents and property condition, and forwards listing to owner for review.

Contacts utility companies to arrange for transfer of service for tenants.

Assists with eviction of tenants in compliance with court order and directions from Lawyer and Owner.

Adheres to the Madison Marquette Standards.

Some travel may be required.

Manages daily meetings with architects, construction contractors, and tenants to oversee tenant space buildouts/improvements in order to maintain a high quality of construction and to ensure compliance with construction drawings.

Manages the performance of contractors working on the property daily in order to ensure adherence to work orders and the budgets. Oversees request and review of the required insurance certificates in order to ensure adequate coverage in accordance with the contracts in place for the work being performed.

Conducts property tours associated with sale, refinancing, corporate visits, etc., and provides documentation as requested in order to ensure high visibility for the property.

Other duties as assigned.

Regular and predictable attendance at the Company’s place of business during scheduled work hours is an essential function of this job, unless otherwise required by federal, state or leave of absence laws.

Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance, rewarding and disciplining employees, addressing complaints and resolving problems.


QUALIFICATION REQUIREMENTS:

EDUCATION and/or EXPERIENCE

Bachelor's degree (B. A.) from four-year college or university; or equivalent combination of education and experience.


LANGUAGE SKILLS:

Ability to read, analyze, and interpret general technical procedures or governmental regulations. Ability to write reports and business correspondence. Ability to effectively present information and respond to questions from groups of managers and clients. Must be able to understand and communicate effectively in English to tenants, vendors, clients and employees who only speak English.


MATHEMATICAL SKILLS:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

 
REASONING ABILITY:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.


CERTIFICATES, LICENSES, REGISTRATIONS
:

Real Estate Sales or Broker’s License, Certified Property Manager or Real Property Administrator designation preferred.


OTHER SKILLS and ABILITIES:

Familiarity with computer and various software for word processing and spreadsheet preparation.


PHYSICAL DEMANDS:

While performing the duties of this job, the employee is regularly required to sit and use hands to handle office equipment, paper reports, etc. The employee frequently is required to stand and walk. The employee is occasionally required to reach with hands and arms. May occasionally be required to lift up to 10 pounds a distance of 30 feet as needed. Must be able to move freely throughout the property, including moving up and down stairs. Must be able to sit for up to 50% of the work day.

The job tasks are performed in an office environment with moderate environmental conditions present as regards temperature, noise levels, etc.

While performing the duties of this job, the employee frequently works near moving mechanical parts. Must be able to move throughout the property, including up and down ladders and stairwell. May occasionally be exposed to machine noise and inclement weather conditions. The noise level in the work environment is usually quiet.
