Job Description: Executive Assistant
The Executive Assistant will provide support to senior management performing diverse administrative and project management functions. Independently complete assigned non-routine tasks to meet specific goals, serving as the primary liaison between the executives, the internal organization, clients, consultants and sub-contractors.
Responsibilities Include:
- Interface with entrepreneurial and institutional clients, design consultants, sub-contractors, legal, IT, tax and insurance professionals.
- Draft, prepare, proofread, file correspondence, memos, and other documents.
- Compile, process and analyze data based on research objectives and prepare reports.
- Manage and maintain executive calendars
- Organize, schedule and coordinate internal and external meetings and conference calls. Follow up on action items and report status to attendees.
- Maintain and update directories, contact and distribution lists.
- Coordinate work with third party suppliers to address support needs on behalf of the company.
- Special projects as needed, including marketing and website updates, event planning, etc.
- Personal tasks as needed.
Qualifications:
- Energetic and conscientious team player with the ability to multi-task under pressure in a fast-paced environment.
- Excellent oral and written communication skills.
- Extraordinary attention to detail with high level of accuracy.
- Strong planning, presentation and organizational skills.
- Handle confidential matters with discretion.
- Resourceful, creative, and able to adapt quickly and effectively to unexpected changes in a positive manner.
Experience:
- Minimum 5+ years in construction, real estate, Architectural or Engineering related field.
- Minimum 5+ years supporting high level executive.
- Advanced knowledge of Outlook, Word, and Excel. Knowledge of QuickBooks and scheduling software a plus.
Compensation:
Commensurate with experience.
