Business Responsibilities
Carry out specific projects, research and administration as required;
Liaising with clients, suppliers, shareholders, intercompany staff;
Organizing and maintaining the CEO’s calendar, making appointments;
Ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office;
Word processing, dealing with correspondence, writing emails/letters and corporate documentations/policies, typing meeting reports;
Organizing and attending meetings with CEO and/or other staff when appropriate. Creating meeting notes and agendas when applicable;
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response;
Arranging business trips (including flights and accommodations), ensuring the CEO is well-prepared for meetings/business trips;
Ability to edit documents and spreadsheets on behalf of the CEO (Moderate Microsoft PowerPoint, Excel and Word skills required);
Completing expense reports and management of expenses;
Fulfilling office supply and general office furnishing requests;
Some HR related tasks required;
Qualifications/Skills
- 4 years experience as an executive assistant or senior executive assistant
- Comprehension of Microsoft Office Suite and procedures
- Exemplary planning and time management skills
- Up-to-date with advancements in office gadgets and applications
- High level verbal and written communications skills
- Trustworthy with highly confidential information
