JOB SUMMARY

Provides administrative and management services for the timeshare locations for both on and off-campus. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

 

Documents

  • Assemble all Medical Office License packages including client-provided Medical Office License Agreements (MOLAs) with necessary Fair Market Value (FMV) backup, also client-provided, for MH Real Estate review and MH Legal approval.
  • Ensure all documents are proofed for accuracy
  • Shepherd documents for timely signatures by physicians/ licensees/ hospital personnel (prior to effective date) using DocuSign.
  • Ensure e-copies of all fully executed documents uploaded to network, CMD, Legal, Real Estate and campus administration teams.

 

Database Management

  • Maintain Critical Date tickler system and email notification system. Maintain spreadsheets to track deal status for renewals, and new deals, email reminders on deadlines.
  • Provide reporting on timeshare licensees within the portfolio
  • Maintain Calendars/Schedules for each location
  • Maintain contact list for each location for users, vendors, phone/internet, etc.

 

Communication

  • Arrange showings for prospective physician licensees.
  • Deliver keys and new licensee orientation/welcome packets
  • Update tenant plaques and directory boards
  • Track and resolve mid-level issues as needed to quickly resolve issues and concerns and escalate high-level issues to Supervisor.
  • Schedule and coordinate repairs. Gather estimates and submit for approval.
  • Assist MH Accounting and Legal in pursuit of past due A/R balances

 

Reporting

  • Thoroughly review, update and distribute a Monthly Report
  • Conduct quarterly inspections of all timeshare locations.
  • Conduct annual inventories

 

Financial Management

  • Assist in audits and compile, distribute and track information as needed
  • Assist MH corporate accounting with questions on timeshare invoices
  • Assist campus administration teams with budget information (projected rent increases, revenues)

 

Inventory Management

  • Check inventory on a regular basis and re-order as necessary. Some locations may require hand-delivery.
  • Track orders and schedule ahead of time to be pro-active instead of re-active
  • Track shipments and invoices; code for payment

 

Other duties may be assigned.

 

EDUCATION and/or EXPERIENCE

Four to six years of related experience and/or training; Texas real estate salesperson’s license a plus but not required.

 

SCOPE OF RESPONSIBILITY

Decisions made with advanced understanding of procedures, company policies, and business practices to achieve general results and deadlines. Responsible for setting own schedule and deadlines.

 

COMMUNICATION SKILLS

Ability to comprehend, analyze, and interpret various types of business documents and license agreements. Ability to write reports and manuals in a pre-designed style and format. Ability to effectively respond to complex inquiries or complaints from clients, co-workers, supervisor, and/or management. Ability to comprehend and interpret instructions and ask clarifying questions to ensure understanding. 

 

FINANCIAL KNOWLEDGE

Requires basic knowledge of financial terms and real estate principles. Ability to calculate intermediate figures such as rates and square feet. Conducts basic financial analysis.

 

REASONING ABILITY

Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills.

 

PHYSICAL ABILITY

Ability to lift and carry up to 20 lbs.
