Position Overview:

The Portfolio Coordinator (PC) oversees the collection and reporting of compliance documents to ensure the company complies with all regulatory agreements for a diverse portfolio of affordable housing communities.  The PC reports to the Director of Asset Management and works closely with other departments within the company.  He or she will conduct regular reviews with third party stakeholders and represent the company with third party government agencies.

 

The PC must have a strong understanding of affordable housing programs such as HUD Section 8 Project Based Housing Assistance, Low Income Housing Tax Credits, Rural Housing and Housing Bonds.

 

Position Responsibilities:

  • Responsible for tracking and collecting Bond, LIHTC, HUD, RD, HOME, Seller’s Notes documents and checking them into the Asset Management Software.  Ability to pull reports and work with Management Agents and Asset Managers to get missing reports completed.
  • Ability to discuss the status of compliance on new communities.
  • The ability to understand how a resident is certified and discuss issues with compliance agencies or partners.
  • Responsible for reporting to Bond, LIHTC, HUD, RD, HOME, Seller’s, lenders, and any other stake holders on a monthly, quarterly, semi-annual, or annual basis.
  • Work with non-profit general partners to track, collect, accurately review, and check all Welfare Exemptions.  Immediately report any discrepancies to the appropriate responsible party.
  • Work closely with the management agents and consultants on utility allowance studies to ensure timely implementation.
  • Collect monthly resident services reports.  Coordinate meetings with resident services providers to discuss services provided to communities. 
  • Coordinate signatures for contracts, reserve withdraws and all any other legal documentation.
  • Scanning, sending packages and occasional hand-deliveries to third party stakeholders and vendors.
  • Special projects and other duties as assigned.

 

Qualifications:

  • Strong understanding of affordable housing programs listed above.
  • Must have the ability to multi-task and work in a fast pace environment.
  • Excellent interpersonal skills.
  • Strong computer skills and thorough knowledge of Outlook, MS Word, Excel and Box.com.
  • Excellent communication and organizational skills for communication with partners, property management companies and other team members.
  • Able to prioritize conflicting assignments, work independently, and is self-motivated.
  • California Notary is preferred.

 

Education or Affiliations:

  • Minimum of a bachelor’s degree or equivalent preferred.
  • Housing Credit Certified Professional
